1) Booking Terms & Cancellation Policy

This Booking Terms & Cancellation Policy (“Policy”) applies to all bookings made through cyprusdba.org operated by Cyprus Dragon Boat Federation (“we”, “us”, “our”). By making a booking, you agree to this Policy, together with our Terms of Use.

1) Definitions

  • Booking: any reservation for an activity, session, training, event, or service offered via the Website.

  • Participant: the person(s) taking part in the activity (may be the same as the person who pays).

  • Organizer/Booker: the person who makes the booking and accepts these terms (may be the participant or a representative).

2) Booking confirmation

A booking is considered confirmed when:

  • you receive a confirmation email/message from us, and

  • payment is successfully received (for Stripe payments), or

  • for wire transfers, when funds are received and matched to your booking reference.

3) Prices and payments

  • All prices are shown in EUR unless stated otherwise.

  • Payment methods:

    • Card payments via Stripe

    • Offline wire transfer (where offered)

Wire transfer note: Your bank may charge fees. You are responsible for those fees and for ensuring the correct reference is used so we can match your payment.

4) Changes by you (rescheduling / amendments)

If you need to change a booking (date/time, participant details, etc.), contact us as soon as possible.

We will try to accommodate changes, but changes are subject to availability and may not always be possible—especially for high-demand dates or events.

5) Cancellations by you (standard cancellation rules)

Unless a specific activity/event states different terms at checkout or in the booking description, the following rules apply:

  • More than 7 days before the booking start time: full refund (minus any non-refundable payment processing fees, if applicable) or free reschedule.

  • Between 7 days and 48 hours before start time: 50% refund or one free reschedule (subject to availability).

  • Less than 48 hours before start time / no-show: no refund.

Important: If you paid by wire transfer, refunds (where applicable) are processed back to a bank account you provide, and bank fees may apply.

If you prefer stricter or more flexible terms, tell me and I will adjust this section.

6) Weather, safety, and operational cancellations (cancellations by us)

Because our activities may be affected by weather, water conditions, safety, or operational constraints, we reserve the right to cancel or reschedule a booking if necessary.

If we cancel:

  • we will offer rescheduling at no additional cost, or

  • a full refund (for the affected booking), unless the cancellation was due to factors outside our control where services were already provided or costs incurred (rare—only where clearly communicated).

Examples include: unsafe weather/water conditions, equipment issues, coach/crew safety decisions, or official restrictions.

7) Late arrivals

Please arrive 20 minutes before the start time.
If you arrive late, we may need to shorten the session to protect the schedule. Late arrival does not automatically qualify for a refund.

8) Participation requirements and conduct

Participants must:

  • follow all instructions from coaches/staff

  • behave respectfully toward staff and other participants

  • not participate under the influence of alcohol or substances

  • comply with required safety gear (e.g., buoyancy aid/life vest where required)

We may refuse participation or stop an activity without refund if a participant’s conduct creates a safety risk or disrupts others.

9) Health and fitness

You are responsible for ensuring you are fit and able to participate. If you have medical concerns, consult a medical professional before participating. If an activity requires specific skills or fitness, this will be indicated in the booking description.

10) Minors

Minors may participate only:

  • with parent/guardian consent, and

  • under any supervision requirements stated for the specific activity.

The parent/guardian (or the organizer) is responsible for ensuring consent is valid.

11) Photos and media

During activities/events we may take photos/videos for community and promotional purposes.

  • If you do not want to appear in photos/videos, inform us before the activity on-site contact / cyprusdba@gmail.com and we will make reasonable efforts to accommodate.

(If you want a stricter opt-in/opt-out approach, tell me and I will align this with your operations.)

2) Shipping & Returns (E-shop)

This Shipping & Returns policy applies to purchases made through the E-shop on cyprusdba.org operated by Cyprus Dragon Boat Federation (“we”, “us”, “our”).

This policy covers Cyprus only delivery via BoxNow and local pickup. We do not offer international shipping at this time.

1) Order processing

  • Orders are typically processed within 1–3 business days after payment confirmation.

  • During peak periods or federation events, processing may take longer. If so, we will notify you.

2) Delivery options (Cyprus only)

You may be able to choose one of the following at checkout:

A) BoxNow delivery (Cyprus)

  • Delivery time: typically 2–5 business days from dispatch (may vary by area and BoxNow network availability).

  • Tracking: [describe how tracking is provided, if you provide it].

  • Collection from locker: subject to BoxNow’s time limits and rules.

If a parcel is returned due to non-collection or incorrect details, you may be responsible for re-delivery costs.

B) Local pickup

  • Pickup location: “Germasogeia Dam, Limassol” + more specific pickup point

  • Pickup times: will be communicated to you upon order.

  • You will be notified when your order is ready for pickup.

3) Shipping costs

Shipping costs (if any) are displayed at checkout.

  • BoxNow fees may vary depending on parcel size and service.

  • Pickup is typically free unless stated otherwise.

4) Incorrect address / delivery issues

You are responsible for entering correct delivery/pickup details at checkout. If you notice an error, contact us immediately at cyprusdba@gmail.com.

We are not responsible for delays or failures caused by incorrect information provided by the customer.

5) Returns and exchanges (general rules)

Unless a product listing states otherwise, you may request a return or exchange under the following conditions:

  • You contact us within 14 days of receiving the item.

  • The item is unused, unworn, and in its original condition, with original packaging where applicable.

  • Proof of purchase is provided.

Return shipping costs are normally paid by the customer, unless the item is defective or we sent the wrong item.

6) Damaged, defective, or wrong items

If your item arrives damaged, defective, or incorrect:

  • Contact us within 48 hours of receipt

  • Include photos and your order number

We will assess and, where appropriate, offer a replacement, exchange, or refund.

7) Refunds

If a return is approved:

  • Refunds are processed back to the original payment method where possible.

  • If you paid via wire transfer, refunds will be sent to a bank account you provide.

  • Refund timing depends on processing and bank/payment provider timelines.

Shipping fees (if charged) may be non-refundable unless the return is due to our error or a defective item.

8) Items not eligible for return (recommended standard exclusions)

For hygiene and safety reasons, the following may be non-returnable (if applicable):

  • items with hygiene seals removed

  • personalised/custom items

  • digital products/downloads

  • items clearly stated as non-returnable
